Stakeholder Grievance & Feedback Process

Our pets are born with effective methods of registering complaints. A well-timed bark or hiss pretty much says all we need to know. People, on the other hand, need guidance.

This procedure sets out a fair and consistent way for anyone connected to Edgard & Cooper: employees, suppliers, partners, customers, or any other stakeholder, to raise a concern or complaint about any aspect of their relationship with us. It applies regardless of who you are or your role in that relationship.

Feedback makes a great first step

In full alignment with our parent company, General Mills, ethics and integrity are core to our values. We welcome feedback at any stage of a working relationship. If you have a concern, we encourage you to raise it first with your usual point of contact at Edgard & Cooper, or another appropriate person, as early as possible. We aim to resolve concerns informally at this stage wherever we can.

If you’re not able to raise your concern directly with us, or the matter remains unresolved, you can raise a formal grievance.

Raising a formal grievance

The way to raise a formal grievance is by using the Ethics Line. This can be done online or via phone. It offers the option to report anonymously, is available worldwide 24 hours a day, seven days a week, and is multilingual.

What happens when I raise a workplace ethics concern?

1. Reception

Receipt of submission follows in writing within 2 working days.

2. Assessment

If you are asking a question, a member of the Ethics & Compliance group will respond.

If you are reporting potential misconduct, it will be investigated. The Ethics Line allows you to remain anonymous should you wish. Communication takes place through the Ethics Line system.

3. Investigation

The appropriate group will be identified to handle the investigation depending on the concern.

If more information is needed, you will be contacted.

4. Remediation

Sometimes, we investigate and find a reasonable explanation for the concerns and determine there is no wrongdoing.

If we do determine there was a violation of policies, such as harassment, fraud, or theft, examples of actions the company may take include:

  • Coaching on our policies

  • Providing a written warning

  • Separation from the company

When to expect a response

We’ll acknowledge your grievance within 2 working days and aim to resolve it within 30 working days.

The Ethics Line enables you to check on the status of your report and is where questions can be placed and answered. We’ll keep you posted with regular updates until it’s sorted.

Confidentiality & Non-Retaliation

Our Pledge

It takes courage to report an activity or decision that is, or appears to be, contrary to our values. To maintain our ethical culture, we aim to ensure all stakeholders have every possible means to speak up. The company will not retaliate against you — nor permit retaliation — for speaking up about a questionable business practice or behavior.

Record keeping

Our intention is to learn and develop through any grievances that are raised. We therefore monitor and record grievances that are raised, how they were handled, and their outcomes.

What is a grievance?

We probably should’ve explained this earlier… A grievance is different to a product complaint. It can be understood as any concern where a stakeholder believes something is wrong or unfair in how Edgard & Cooper behaves, especially on social, environmental, or governance issues, and is seeking resolution through a formal mechanism.

This may include:

  • A product which causes environmental or social harm

  • Fraud, conflicts of interest, anti-trust or anti-corruption

  • Discrimination or harassment

  • Misleading claims/greenwashing

  • Human rights or labor concerns in our value chain

  • Misuse of data or breach of privacy or confidentiality concerns

  • Severe product safety or health risks

What is not a grievance?

We do not consider these types of issues “grievances”:

  • Routine quality issues

  • Logistics and service hiccups

  • Preference-based feedback

  • Price or discount disputes
